Hey there!

We’re looking for a Workplace & Experience Specialist to join our Lisbon office, and be part of our journey, working in an exciting, multicultural, and fast-paced environment here in Portugal! 

In this role, you will be joining the Workplace & Experience team, a team focusing on building exceptional people experiences and fostering engaging and smooth working environments for everyone. We support Pleo’s offices across 11+ countries and 3 continents, with the goal of bringing everyone together in workspaces that focus on wellbeing, help drive engagement, and support performance. We take pride in everything we build for our people, from spaces to events and communities, bringing the social glue that makes Pleo one of the best startups in EU. Our work ensures that besides functional and state-of-the-art workspaces, we also provide a space where everyone can belong, reflecting Pleo’s culture and values.

Now, with 650+ people spanning across our 6 main workplace locations, and multiple smaller hubs, we simply work to ensure that our offices are exciting and effective places for employees to collaborate and make work….work!

What you’ll get up to 

  • Event & Community Management: whether it’s a Winter gathering or a sustainability programme - you’ll be planning the events, managing the budget and promoting employee engagement! Communication is important, so get ready for some Slack action.
  • Practical tasks to help manage the Lisbon office: Ensuring office spaces are functional, aesthetically pleasing, and aligned with organizational needs.
  • Make the Lisbon Office better: come up with new ideas for what you believe is needed, improve what isn’t working and automate wherever possible
  • Gather feedback: you’ll be continuously striving to improve the workplace experience, so gathering feedback from stakeholders and employees will be really important to understand where to improve
  • Support larger ad-hoc projects: perhaps we’re going through an office refurbishment, or hosting a group of employees from another office - you’ll ensure everything runs smoothly!
  • Contract Management: Closely support the follow up and monitoring of the area services & contracts, identifying ways to improve services while keeping cost flat or reduced.
  • Budget Management: ensure we’re making the most of our $$, by giving the best experience at the lowest cost by performing and monitoring the budget control environment in all activities, purchases, services, etc..
  • Health & Safety: Ensure the workplace complies with local and international H&S regulations and the coordination of the mandatory training programs, like fire drills, first aid, and workplace safety practices.

We believe you'll thrive in this role if you

  • Have significant expertise and experience in the workplace industry, property or facilities management 
  • Love to organize, bring structure, optimize, communicate, and build relationships
  • Like to ‘get your hands dirty’ and lead on operational priorities such as client or supplier negotiations
  • Knowledge of workplace technology and current trends in office design and hybrid work environments 
  • Are familiar with Slack, G’Suite (especially spreadsheets), Notion &  Zoom 
  • Are familiar with event planning & community building

  • Experience with managing a budget of 1M€
